There is no single best visitor management software in India. The best one for a factory with four gates is not the best one for a ten-person startup. What helps is a clear list of what to compare, and facts you can check.

This guide gives you the criteria, then summarises what several vendors state on their own pages, read on 18 October 2026. It is written by VisitorFlow, which is one of the products listed, so it is not a neutral ranking. We have not tested the products. We say where others look stronger, and we show no VisitorFlow price because the package page we read does not list one.

How we built this list

We did not rank. We collected public facts from vendor pages: plan limits, listed prices, trials and features. We list vendors in alphabetical order inside each table. If a fact is not on the vendor page, we say so. Offers change, so check each page before you decide.

Eight things to compare

Criterion Why it matters
Visit limit Plans cap visits per month
Sites and devices Per-location pricing adds up
Alerts Email, SMS, WhatsApp
Pre-registration Fewer walk-in delays
Gate pass, courier One gate, one record
Records and export Audit and DPDP
Price and GST Check what is included
Trial Test at the real gate

Vendors and what their pages say

GATEntry Rs 999 per month plus 18 percent GST Low entry price with invite limits

Which fits which site

Site What to look for Candidates to test
Small office or startup Low price, free plan, simple check-in Vizitor free plan if eligible, Envoy free plan, VisitorCheckIn, Vizman
Growing company, several sites Multi-site limits, WhatsApp alerts Pass Point, TechNAll, Vizitor
Factory or warehouse Gate pass and courier with visitors VizPass, VisitorFlow
Global company One vendor across countries Envoy
Budget buyer with high volume Low cost per visit VisitorCheckIn, Pass Point higher tiers

These are starting points, not recommendations. Always test.

Cost per visit matters

Dividing the listed price by the visit limit shows a gap: from under Rs 1 per visit on some larger plans to above Rs 7 on small ones. Our price guide has the full table and sums. A cheap plan with a low limit can cost more per visit than a bigger plan.

Where VisitorFlow is and is not stronger

VisitorFlow's package page lists visitor sign-up by QR code or form, arrival notifications by email, SMS and WhatsApp, a host list, and separate packages for material gate pass, courier and maintenance. For a site that wants these at one gate, that is the point. Others look stronger on published prices, on a free plan with stated limits, or on global reach. Envoy has the broadest enterprise and global footprint of the names here.

What about DPDP

India's Digital Personal Data Protection Rules, 2025 apply to personal data you collect at the gate, such as names and phone numbers. The PIB release says obligations phase in over 18 months, which we describe as around mid-May 2027. Confirm dates with your legal adviser. Ask each vendor how it handles notice, retention and deletion on request.

How to read vendor claims

Vendor pages are marketing. A page that says a feature exists does not tell you how many taps it takes, or whether it works on a weak signal. Treat every listed feature as something to verify in the trial.

  • Look for limits in small print: visits, users, sites, devices.
  • Check whether a trial disables key features. One vendor states its trial has WhatsApp disabled.
  • Check the date on the page, since prices change.
  • Ask for customer references at a site like yours, and call one.

Review sites and comparison blogs can help you find names, but many are written by vendors. Use them for leads and go to the vendor page for facts.

Setting up at the gate

Whichever product you choose, the first month decides whether it sticks. Put the screen where the guard stands, not where it looks tidy. Print a QR code for walk-ins. Tell hosts what alert to expect. Keep a paper register as backup for the first weeks and retire it once the digital log is complete for a full month.

Train guards on three cases: the expected visitor, the walk-in and the contractor who comes every day. Most delays come from these. Our guides on the visitor management process and the guard entry checklist walk through each one, and the guide on QR check-in covers the walk-in flow.

A two-week trial plan

Step 01

Days 1 to 2

Set up two products at the same gate.

Step 02

Days 3 to 7

Use each for half the visitors.

Step 03

Days 8 to 10

Test pre-registration and alerts.

Step 04

Days 11 to 12

Pull a report and test deletion.

Step 05

Days 13 to 14

Score and decide.

Scoring sheet

Score 0 to 3 Criterion Tool A Tool B Guard speed _ _ Host alerts _ _ Reports _ _ Price and limits _ _ Support _ _ Total _ _

Ask the guards to score guard speed. They use it most.

What to ask every vendor

  • What exactly happens when I pass the visit limit?
  • Is the price per company, per site or per device?
  • Is GST included in the price you showed?
  • Are WhatsApp or SMS messages billed separately?
  • Can I export all records in a spreadsheet?
  • How do you handle deletion requests?
  • Who supports us, and in which hours?

Put the answers in writing. A short email thread beats a sales call for your records.

Common mistakes

Choosing by brand

A big name may not fit your gate.

Ignoring limits

Visit caps drive the real cost.

Skipping the guards

They decide success.

Another mistake is judging only the demo. A demo is a clean run on a clean screen.

A third is forgetting exit. Check that sign-out is easy, or your log will show people still inside.

A shortlist plan

Pick three to test.

Step 01

Step 1

List your visits, sites and must-haves.

Step 02

Step 2

Check three vendor pages.

Step 03

Step 3

Trial two at the gate.

Write down what you saw and choose. Record the time a guard needs per visitor in each tool, the number of alerts that reached hosts, and any visit that was missed or entered twice. Those three numbers, plus the quoted twelve-month total with GST, are enough to decide fairly between two products that look the same on paper.

Five-minute self-check

Check your shortlist.

Answer yes or no

  • ☐ Do you know your monthly visits?
  • ☐ Do you know your sites?
  • ☐ Have you checked GST?
  • ☐ Is a trial planned?
  • ☐ Will guards score the tools?

Two or more no answers mean this is worth fixing before anything else on your list.

Reader Q&A

What is the best visitor management software in India?

There is no single best. Choose by visit volume, number of sites, alerts, gate pass and courier needs, and test two or three at your gate.

Which visitor management software is free in India?

Vizitor states a free plan for qualifying startups and NGOs, and Envoy lists a free plan with 100 entries a month, on their pages as read on 18 October 2026.

How much does it cost?

Listed entry plans range from about Rs 400 to Rs 1,700 a month in our sample, with higher plans above that. See our price guide.

Do I need WhatsApp alerts?

Many Indian hosts read WhatsApp first. Check which plans include it, since some trials disable it.

Can one tool do visitors, gate pass and courier?

Some vendors bundle them, such as VizPass and VisitorFlow. Check each package.

Is VisitorFlow the best?

We wrote this guide, so judge for yourself. Test it against others and use the criteria above.

Bottom line

Choose visitor management software on limits, alerts, records and price, and test at your own gate. Public facts help you shortlist, but a two-week trial decides.

Shortlist three, trial two, and ask the guards to score them.

Shortlist, then test

VisitorFlow runs visitor, material gate pass, courier, maintenance and incident workflows on one cloud platform.
