A factory gate is not an office lobby. Hundreds of contractors, drivers, vendors and auditors pass through in a day, many of them with vehicles or material, and some of them walk into areas where a mistake means an injury. Visitor management software for a plant has to cope with that.

This guide lists what a manufacturing plant should look for, what several vendors state on their own pages (read 18 October 2026), and how to trial the software at a real gate. It is written by VisitorFlow, which sells gate and courier software, so treat it as a checklist and not a neutral ranking. We have not tested the products named.

How a plant differs from an office

Plant gate Office lobby
Contractors and labour all day Mostly guests and interviews
Vehicles and drivers Few vehicles
Material in and out Rare
Safety rules before entry Badge and wait
Several gates and shifts One desk
Audit and incident records Light

Software built for a lobby may check people in well but ignore material, vehicles and safety.

What a plant needs

  • Fast check-in for repeat contractors, without re-keying details.
  • Vehicle number and driver details.
  • Safety induction or declaration before entry, with a record.
  • Approval by the host or department before a visitor enters production areas.
  • Material gate pass for goods in and out, returnable and non-returnable.
  • A courier and parcel register.
  • Blocking or flagging of people who must not enter.
  • Multi-gate and multi-shift use, with one record.
  • Reports for audits, insurers and incident reviews.

Our guides on the gate pass, the visitor gate pass format for factories and the security guard entry checklist explain the paperwork behind each item.

What vendors state on their pages

Key idea: Few vendors in our sample state safety induction, vehicle logs and material control in one product. Ask for a demo of each.

Material and couriers

Many plants find that material control is a bigger gap than visitor control. A returnable item that never comes back is a loss. Software that ties the visitor, the vehicle and the material pass together gives one record for the gate. VisitorFlow lists a Material Gate Pass package and a Courier package on its package page, and VizPass lists couriers and material in its entry plan. Dedicated gate pass vendors also exist, covered in our guide to material gate pass software.

Safety and compliance

Plants carry duties under the Factories Act and state rules, and many follow their own safety induction. We do not give legal advice here, so ask your safety officer which records you must keep. Software can help by making the induction step compulsory before a pass is issued, and by keeping a searchable record for an incident review. See our guides on the incident report format and near miss reporting.

Personal data collected at the gate, such as names, phone numbers and vehicle numbers, falls under India's Digital Personal Data Protection Rules, 2025, whose main duties phase in around mid-May 2027 according to the PIB release. Confirm with your legal adviser, and ask vendors how they handle notice, retention and deletion.

What it costs

Plans are usually priced by visits, sites and devices. A plant with several gates should check whether the price is per location or per company, and whether the visit limit counts contractors. See our price guide for listed prices read on 18 October 2026. VisitorFlow's prices are not shown in the text we read, so ask for a quote.

Where others may be stronger

  • Envoy for global companies with ID scanning and watchlists on its Enterprise tier.
  • Vendors with clear low published prices, if your gate volume is small.
  • Dedicated gate pass vendors with value-based approval limits, if material control is your main need.

Shifts, gates and queues

Plants peak at shift change, when contractors, drivers and staff arrive within minutes. A system that takes two minutes per person builds a queue at the gate and tempts guards to wave people through. Time the check-in for a repeat contractor and for a new visitor, and compare tools on both numbers at the busiest hour, not at noon.

Think also about night shifts, when fewer people are around to approve a visitor. Decide in advance who can approve after hours, and check that the software can route approval to that person, or to the security supervisor, without a call.

Finally, plan for downtime. A plant cannot stop the gate because the internet dropped. Ask each vendor what the guard sees when the connection fails, and how records are synced afterwards. Keep a short paper fallback, with a rule to key the entries in once the system is back.

Who in the plant should be involved

  • Security head: gate flow and guard training.
  • Safety officer: induction and emergency head count.
  • Stores or logistics head: material and courier flows.
  • HR or admin: contractor and visitor records and retention.
  • IT: hosting, access control and data export.

Bring them into the trial review together. Each will notice a different gap, and fixing them before rollout is cheaper than fixing them after.

A plant trial in two weeks

Step 01

Days 1 to 2

Set up one gate and load your regular contractors.

Step 02

Days 3 to 6

Run all visitors and vehicles through it, with the paper register as backup.

Step 03

Days 7 to 9

Add material gate passes for one department.

Step 04

Days 10 to 11

Test an induction step and a blocked entry.

Step 05

Days 12 to 14

Export a report and review with the safety and stores heads.

What to score

Score 0 to 3 Criterion Tool A Tool B Repeat contractor _ _ Vehicle log _ _ Induction step _ _ Material pass _ _ Courier register _ _ Multi-gate _ _ Reports _ _ Total _ _

Ask the shift guards to score speed. A slow screen at shift change creates a queue and tempts them back to paper.

Common mistakes

Buying an office tool

It may ignore material and vehicles.

No guard input

They run it every day.

Pilot one gate first

Then roll out.

Another mistake is loading every visitor as new each time. Set up repeat contractors so that check-in takes seconds.

A third is skipping exit. A plant needs to know who is inside during an emergency, so make sign-out part of the gate routine.

A plant rollout

Start small, then extend.

Step 01

Week 1

Pilot one gate.

Step 02

Week 2

Add material gate pass.

Step 03

Week 3

Add the other gates and shifts.

Review with safety and stores after each week.

Five-minute self-check

Check your plant gate.

Answer yes or no

  • ☐ Are repeat contractors quick?
  • ☐ Do you log vehicles?
  • ☐ Is material approved before dispatch?
  • ☐ Is a safety step recorded?
  • ☐ Can you list who is inside?

Two or more no answers mean this is worth fixing before anything else on your list.

Reader Q&A

What is the best visitor management software for a factory?

There is no single best. Look for contractor handling, vehicle logs, safety steps, material gate pass and multi-gate use, and test at your gate.

Do plants need material gate pass with visitor management?

Most do. Material leaving the site needs approval and a record, so look for gate pass in the same product or an integration.

Can the software handle contractors who come daily?

Check this in the demo. Repeat contractors should be a few taps, not a full form each time.

Does it help with safety induction?

Some products can require a step before a pass is issued. Ask each vendor to show it.

How much does it cost for a plant?

It depends on visits, sites and devices. See our price guide, and ask for a written quote with GST.

Does VisitorFlow suit manufacturing plants?

Its package page lists visitor, material gate pass, courier and maintenance packages. We wrote this guide, so test it against others at your gate.

Bottom line

A plant needs more than a lobby check-in: contractors, vehicles, material, safety steps and audit records. Shortlist products that cover these, trial one gate for two weeks and let the guards score it.

Start with one gate and your safety and stores heads in the review.
