Envoy is a well known visitor management product, and many Indian teams try it first. Some then look for something else, usually because of price in dollars, the iPad requirement or the need for India-specific features such as WhatsApp alerts and gate pass.

This guide covers why teams look for an Envoy alternative, what to check before switching, and a set of options with prices as listed on their own pages. It is written by VisitorFlow, which is one of the alternatives, so we say plainly where Envoy is stronger. All vendor facts were read on 18 October 2026 and may have changed.

Why teams look elsewhere

  • Price in US dollars. Envoy lists Premium at USD 362 per location per month, billed annually, on envoy.com/pricing. The rupee cost moves with the exchange rate.
  • Hardware. Envoy's Visitors page says it runs on an iPad with iOS 10 or later.
  • Local needs. Indian sites often want WhatsApp alerts, material gate pass and courier registers at the same gate.
  • Support and billing in India, including GST invoices in rupees.
  • Per-location pricing across many sites.

None of these is a flaw in Envoy. They are fit questions.

What Envoy does well

Envoy lists a free plan with host notifications and 100 entries a month. Its Premium and Enterprise tiers cover ID scanning, blocklists and watchlists, and it sells further products such as Deliveries and Reservations. For a global company that wants one workplace platform across countries, that breadth is a real strength, and a local tool may not match it.

Key idea: If you run offices in many countries and need one global vendor, Envoy may still be the right choice.

A rupee comparison with Envoy

Using an assumed rate of Rs 85 to the dollar, which is our assumption and not a quoted rate, Envoy Premium at USD 362 is about Rs 30,770 per location per month. A mid-range Indian plan in the table above costs a few thousand rupees. The gap is large, but plans are not like for like: Envoy's tier includes features and a global footprint that cheaper tools may not.

What Indian sites usually need

Global tools are built for offices with a front desk. Indian factories, campuses, hospitals and residential societies often have a different pattern: many gates, contractors and drivers all day, material leaving on gate passes, and couriers arriving in bulk. Think about which of these describe you before you compare feature lists.

  • A guard-operated screen for walk-ins and contractors, not only pre-registered guests.
  • Alerts to hosts on the channel they actually read, often WhatsApp.
  • A way to record vehicle numbers and material carried in.
  • Gate pass for returnable and non-returnable goods, tied to approvals.
  • A courier register for inward and outward parcels.
  • Records that can be searched by name, date and host for an audit or an incident.

Our guides on the visitor register format, the security guard entry checklist and the gate pass cover these in more depth.

A budget example

Example (assumed numbers) Company with 3 sites, 400 visits a site a month. Per-location plan: 3 plans needed Per-company plan: 1 plan, 1,200 visits Check: is the limit per site or per company? Check: is GST included? Check: are messages billed separately?

The numbers are invented to show the method. The same visit count can cost three times as much on a per-location plan, which is why the pricing model matters as much as the price.

Ask each vendor for a written quote that states the limit, the number of locations, GST and any message charges. Compare the totals for twelve months, including the cost of any hardware you must buy.

Where VisitorFlow fits

VisitorFlow's package page lists visitor sign-up by QR code or form, arrival notification by email, SMS and WhatsApp, a host list, and separate packages for material gate pass, courier management, and maintenance and incident software. That suits sites that want visitors, material and couriers at one gate. Read our comparison article on VisitorFlow against Envoy for a feature view, and confirm pricing with VisitorFlow, since it is not shown in the text we read.

Where each option may be stronger

  • Envoy: global scale, deeper enterprise features, a free tier for small teams.
  • Vizitor: a published free plan for qualifying startups and NGOs.
  • Pass Point and TechNAll: clear low entry prices with a trial.
  • VizPass: couriers and material in the entry plan.
  • VisitorFlow: visitor, gate pass, courier and maintenance packages from one vendor.

How to move without losing records

Step 01

Export

Take a spreadsheet of your visitor history from the current tool.

Step 02

Pilot

Run the new tool at one gate for two weeks.

Step 03

Parallel

Keep the old tool running for the first week.

Step 04

Notice

Update your visitor notice if the vendor or data location changes.

Step 05

Switch

Close the old account and keep the export for your retention period.

Our guide on visitor log retention explains how long to keep the exported records.

Common mistakes

Comparing sticker prices

Plans differ in limits.

Forgetting GST

Check each quote.

Skipping the trial

Test at your real gate.

Another mistake is switching on features you will not use, then finding that the one thing your site depends on, such as a gate pass or a courier log, is missing or sold separately. Make a list of the five things your guards and hosts actually do.

A third is skipping the data export. Ask for it before you cancel, and check that it includes visit dates, host names and exit times, not only names.

A switching checklist

Before you leave Envoy.

Step 01

Count

Visits and sites.

Step 02

Export

Visitor history.

Step 03

Pilot

One gate for two weeks.

Decide with real numbers. Write down the visits you counted, the plan limits you saw and the total quoted for twelve months. If two options tie on price, choose the one your guards found easier in the pilot, because a tool that guards avoid will leave gaps in your records and defeat the purpose of switching at all.

Five-minute self-check

Check whether to switch.

Answer yes or no

  • ☐ Is the dollar price a problem?
  • ☐ Do you need WhatsApp alerts?
  • ☐ Do you need gate pass and courier?
  • ☐ Is your export ready?
  • ☐ Is a pilot planned?

Two or more no answers mean this is worth fixing before anything else on your list.
