Search for free visitor management software and you find three different things: a free plan with limits, a free trial that ends, and a free tool that is really a spreadsheet. They are not the same, and the difference shows up in month two.

This guide explains each type, shows what named vendors say about their free offers on their own pages, and lists what you usually do not get. It is written by VisitorFlow, which offers a free trial sign-up. We say where a free option is enough and where it is not.

On this page

Three kinds of free

Type What it is Catch
Free plan A limited tier with no end date, or one granted case by case Caps on visits, features or eligibility
Free trial Full or near-full product for a fixed period Ends, and data and setup must move to a paid plan
Free template A register format in Word, Excel or paper No alerts, no search, no audit trail

Decide which one you are looking at before you compare features.

What vendors say about free

These are the free offers named on vendors' own pages, read on 18 October 2026. We have not tested them, and offers change.

Vendor Free offer as stated Source
Envoy A free plan with host notifications and 100 entries a month envoy.com/pricing
Vizitor Free for startups and NGOs that qualify, approved case by case, up to 100 check-ins a month at one location, not free forever vizitorapp.com/free-visitor-management-system
Pass Point 14-day trial with 100 visitors, 10 users and 1 site, WhatsApp disabled in the trial getpasspoint.com/pricing
VizPass 7-day trial vizpass.beyondboxai.com/pricing
TechNAll VMS Pro 14-day trial, no hardware needed technall.in/products/vms-pro
VisitorFlow Free trial sign-up at visitorflow.co/register; limits not stated in the text we read visitorflow.co/package

Key idea: A free plan with 100 visits a month suits a small office. A site with 40 visitors a day will cross it in three days.

What you usually get

  • Digital check-in on a tablet or phone.
  • Host notification by email or app.
  • A searchable visitor log.
  • Basic pre-registration.

For a small office replacing a paper book, that can be enough. It gives you a clean record and a quick lookup.

What you usually do not get

Feature Often missing in free
High visit volume Caps of around 100 visits a month
Multiple gates or sites Often one location
WhatsApp alerts Disabled in some trials
Gate pass, courier and material Usually separate or paid
Support Self-serve or limited
Data export and audit Check before you start
Custom branding and badges Paid tiers

The Pass Point trial page states WhatsApp is disabled in the trial. That is the kind of limit to look for.

The hidden cost of free

The cost is not money. It is time and risk.

  • You set up the system, train the guards and then repeat it on a paid plan.
  • Data may not move cleanly if you change vendor.
  • A limit you hit at the gate during a busy day makes guards go back to paper.
  • Free tools may not meet DPDP expectations on notice and retention. Ask where data is stored and how it is deleted.

Free and the DPDP Act

India's Digital Personal Data Protection Rules, 2025 apply to personal data collected at your gate, such as names and phone numbers. According to the PIB release on the Rules, the main obligations phase in over 18 months, which we describe as around mid-May 2027. Confirm dates with your legal adviser. Whatever tool you use, free or paid, you remain responsible for giving notice, keeping data only as long as needed and deleting it on request. Ask a free vendor how it supports those three things.

When free is enough

Situation Free is probably enough Move to paid when
Startup office, 1 reception Yes, under about 100 visits You pass the cap
NGO office Yes, if eligible You add sites
Factory with gates Trial only Immediately, for volume and gate pass
Society or school Trial, then paid You need alerts and records

How to test a free plan in one week

Step 01

Day 1

Set it up at the real front desk.

Step 02

Day 2

Train the receptionist or guard.

Step 03

Days 3 to 5

Use it for every visitor, with paper as backup.

Step 04

Day 6

Count visits against the cap and check the log search.

Step 05

Day 7

Decide: stay, upgrade or switch.

What to ask a vendor offering free

  • Is the free plan permanent, or does it end after a set period?
  • What happens to my visitor records when it ends?
  • Is the visit cap per month, per day or per location?
  • Which alerts are included: email, app or WhatsApp?
  • In which country is the data stored, and who can see it?
  • Can I export the log in a spreadsheet at any time?
  • What does the first paid plan cost, in writing, with GST?

Vendors answer these quickly when the answers are good. A vague reply is useful information too. Ask by email so that you have the answers on record, and keep them with your vendor file. If two vendors look equal, pick the one whose paid plan fits your visit count without a jump in price, since that is the plan you will probably end up on within a year.

Free digital against a paper register

A paper register is free, and many sites still run on one. It works until someone needs to find a visit from three months ago, or a manager asks how many contractors came last week. Digital check-in, even on a free plan, answers those in seconds. It also removes the problem of unreadable handwriting and missing exit times.

The trade is dependence on a device and a connection. Keep a paper backup for the first month, and set a rule that the guard fills the paper only if the tablet is down. That keeps the habit of recording every visitor while the team learns the new flow.

Whichever you choose, tell visitors what you collect and why. A short notice at the desk is enough for a start, and our guide on the DPDP consent notice for visitors gives sample wording.

Where VisitorFlow fits

VisitorFlow offers a free trial through its register page. The package page lists Standard and Premium yearly plans, and separate packages for gate pass, courier and maintenance and incident software. We could not see trial limits or prices in the text we read, so check them on the sign-up page. For larger sites, the combined gate, courier and material records are the reason to move past a basic free tool.

Common mistakes

Treating a trial as a plan

It ends. Plan the switch.

Ignoring the cap

Count visits first.

Testing at a desk, not the gate

Trial where it will run.

Another mistake is picking a free tool that cannot export your records. Ask first.

A third is assuming free means compliant. Compliance is your duty, whatever the price.

A free-tool checklist

Before you commit.

Step 01

Cap

What is the monthly limit?

Step 02

Sites

How many locations?

Step 03

Data

Can you export and delete?

Write the answers down for each tool.

Five-minute self-check

Check whether free is enough for you.

Answer yes or no

  • ☐ Fewer than 100 visits a month?
  • ☐ One reception only?
  • ☐ No gate pass needed?
  • ☐ Export confirmed?
  • ☐ Upgrade path known?

Two or more no answers mean this is worth fixing before anything else on your list.

Reader Q&A

Is there free visitor management software in India?

Yes. Some vendors offer limited free plans or trials. Vizitor states a free plan for qualifying startups and NGOs, and Envoy lists a free plan with 100 entries a month, on their pages as read on 18 October 2026.

Is a free trial the same as a free plan?

No. A trial ends after a set period. A free plan has no fixed end date, though limits and eligibility apply.

What are the limits of free plans?

Typically a monthly visit cap, one location and fewer features. Read the vendor page.

Can I use Excel as a free visitor register?

Yes, for a very small office. It has no alerts and no audit trail. See our visitor register format guide.

Is free software DPDP compliant?

Not automatically. You must give notice, limit retention and delete on request. Ask the vendor what it supports.

Does VisitorFlow have a free trial?

It has a free trial sign-up at visitorflow.co/register. Check the sign-up page for limits.

Bottom line

Free visitor management software is useful for small offices and for testing, and a poor fit for busy gates. Know whether you are getting a plan, a trial or a template, and check the cap, the features and the data export.
