A courier arrives at the reception at 4:45 pm with a sealed envelope marked urgent for the finance head. The guard signs the delivery slip and puts the envelope on the desk. By the next morning nobody can say who took it, whether it was opened or where it is now. The sender says it was delivered. The finance head says it never arrived.

An inward courier register prevents that argument. It records each parcel and envelope that comes in, who received it, who it is for and when it was handed over. This guide gives a format, sample entries, handover rules, and ways to handle damaged or missing items. The layout is given inline and no file download is provided.

What the register is for

The register is a chain of custody for incoming post. Each line shows that a parcel arrived, who took it from the courier and who finally got it. It protects the receiver from false claims, the courier from false complaints and the company from loss of important documents.

Key idea: A courier delivered to the gate is not delivered to the person. The register is what closes that gap.

The register format

Column Content
Serial no. Running number, reset each year
Date and time When the courier arrived
Courier company Name, such as a courier or postal service
AWB or tracking no. Number on the slip
Sender Name and city on the parcel
Addressee Person and department
Type Envelope, box, document, sealed
Condition Sealed, damaged, wet, opened
Received by Reception or guard name
Handed to Name of receiver
Date and time handed When the person took it
Signature Of the receiver
Remarks Urgent, perishable, signature needed

Thirteen columns fit on one landscape page. The two that matter most are Handed to and Signature, because that is where custody ends.

Sample entries

No. Time Courier AWB Addressee Condition Handed to
0412 10:15 FastPost FP884412 Finance Sealed A. Rao, 11:00
0413 12:40 City Express CE30091 HR Box, dented S. Nair, 13:05
0414 16:45 FastPost FP884677 MD office Sealed Pending, 17:10

These entries are made up for the example. The third line has no hand-over yet, which flags it for follow-up before the day ends.

Handover rules that work

Step 01

Check on arrival

Look at the seal and condition before signing for the courier. Note damage on the courier slip and the register.

Step 02

Record at once

Fill the line while the courier is still at the desk.

Step 03

Notify the addressee

Call or message the person that a parcel has arrived.

Step 04

Hand over against a signature

The addressee or an authorised person signs for it.

Step 05

Chase before closing

At the end of the day, list all lines with no hand-over and follow up.

Special cases

  • Sealed or confidential: hand to the addressee only, never leave on a desk.
  • Cash on delivery: do not accept without written authority and a name of who pays.
  • Perishable or medical items: notify at once and record the time.
  • Damaged or opened: photograph, note it on the courier slip, inform the addressee and do not discard the packaging.
  • Wrong addressee: record it, tell the courier, and do not open it.

Delays, claims and disputes

If a courier says an item was delivered and the addressee denies it, the register line shows the date, time and the guard who signed. Ask the courier for the proof of delivery with signature. Compare it with your line. A mismatch in time or name is a starting point for the claim.

Keep the register and the courier slips for a period agreed with finance and legal, since disputes can arise months later.

Setting up the reception desk

A good register needs a good place. Put it at the reception desk where the courier arrives, with a pen on a string. Keep a lockable cupboard beside it for parcels waiting for collection, and a tray for sealed envelopes. Put a small notice on the wall that says all parcels are logged and handed over against a signature. Couriers and staff both learn the routine quickly.

If the gate and the reception are in different places, decide where the log is written. One register, one place, is simpler than two that need to be merged.

Who does what

Role Task
Guard or receptionist Receive, check condition, fill the register, notify the addressee
Addressee or delegate Collect promptly and sign
Admin head Review the pending list and handle disputes
Finance Check courier invoices against the register

Name a delegate for each department, so that a parcel for a person on leave still has someone to sign for it. Keep the list of delegates at the desk and update it whenever a department changes, since an outdated list is the quickest route to a parcel that nobody can collect.

Linking the register to courier bills

Courier companies send monthly invoices for services. For inward parcels sent with freight to pay or cash on delivery, the register gives you a way to check the bills. If the invoice lists a parcel that is not in the register, ask why. Our guide on courier invoice reconciliation covers the outward side in detail.

A worked example

Worked example (assumed) 16:45 FastPost envelope for MD office, sealed. No. 0414. 16:46 Guard calls MD office. PA not at desk. 17:30 Pending list at day end shows 0414. 17:35 Reception calls PA. Collected 17:50, signed. Without the pending list: envelope sits at reception. Next morning: nobody knows who has it.

The pending list is the habit that matters most.

Common mistakes

Signing for the courier only

Record who took it from you.

No hand-over signature

Custody ends only with a signature.

Pending list daily

Chase all open lines each evening.

Another mistake is leaving parcels on open shelves at reception. Keep a locked cupboard or a cage for items waiting for collection.

A third is using one register for inward and outward post. Keep them separate so that custody for each direction is clear.

A fourth is accepting parcels addressed to people who no longer work at the company. Record them, tell the sender and do not open them. Personal mail should be handled by a named person, with a note of what was done.

A one-week start

Set up the register at reception.

Step 01

Day 1: format

Print the register and a pending list.

Step 02

Days 2 to 4: use

Fill it for every parcel and do the evening check.

Step 03

Day 5: review

Count open lines and delays, and fix the weak step.

Train the guards and receptionists on the five handover steps, with a role play of a sealed envelope, a damaged box and a wrong addressee. Ten minutes of practice is worth more than a page of instructions. After the first week, ask the receptionist what was awkward and fix the register layout. Repeat the training for any new joiner, and for cover staff who sit at the desk during leave, since gaps in custody often start when the regular person is away.

Five-minute self-check

Check your mailroom against these points.

Answer yes or no

  • ☐ Is every parcel logged on arrival?
  • ☐ Is the condition noted?
  • ☐ Does custody end with a signature?
  • ☐ Is there an evening pending list?
  • ☐ Are sealed items handed to addressees only?

Two or more no answers mean this is worth fixing before anything else on your list.

Reader Q&A

What is an inward courier register?

A log of every courier parcel or envelope that arrives, recording the courier, tracking number, addressee, condition and who it was handed to.

What columns should the register have?

Serial, date and time, courier, tracking number, sender, addressee, type, condition, received by, handed to, time handed and signature.

Who should sign for the parcel?

The reception or guard signs for the courier, and the addressee or an authorised person signs in the register on collection.

What if the parcel is damaged?

Note it on the courier slip and in the register, photograph it, inform the addressee and keep the packaging.

How long should we keep the register?

Agree a period with finance and legal. Many companies keep them for a few years, in case of disputes.

Can I keep it in Excel?

Yes, for modest volume. A digital log adds photographs, notifications and a pending list.

Bottom line

An inward courier register closes the gap between the gate and the person. Fill it at once, hand over against a signature and chase open lines daily.

Start with the format above and the evening pending list. Keep the register simple enough that a new guard can use it on the first day, and review it every quarter to see whether any column is never used or any new column is needed. A register that stays alive is one that fits the way the desk really works, and that is more valuable than a perfect format that nobody follows.
