A visitor to a factory is not the same as a visitor to an office. He may walk past moving machinery, cross a vehicle lane, or carry a laptop in and a sample box out. The pass he holds at the gate has to deal with safety, vehicles and goods as well as identity.
This guide gives a visitor gate pass format built for factories. It lists the fields, adds the safety and vehicle lines that offices do not need, shows who approves what, explains how it differs from a material gate pass, and describes how to keep the pass and the register in step.

An office pass answers who is here and who invited them. A factory pass must also answer where they may go, what protective equipment they need and what they carry in or out. The risk on a shop floor is physical, so the pass is partly a safety document.
A visitor gate pass is also different from a material gate pass. The visitor pass covers a person. The material gate pass covers goods that move through the gate. When a visitor carries goods, the two records are linked but kept separate.
Key idea: A factory visitor pass covers three things: the person, the areas and the carry-in or carry-out.
| Section | Fields |
|---|---|
| Identity | Pass number, date, visitor name, company, mobile number, ID type and last four digits if your site requires it |
| Visit | Host name and department, purpose, expected time in and out |
| Areas | Areas permitted, such as admin block, canteen, shop floor, warehouse |
| Safety | Briefing given (yes or no), PPE issued (helmet, shoes, ear plugs), declaration signed |
| Vehicle | Vehicle number, driver name, parking area |
| Carry-in and carry-out | Laptop, camera, tools or samples listed, with a note if a material gate pass applies |
| Approval | Host approval, security approval where needed, guard initials |
| Exit | Time out, pass returned, items checked |
Print the pass as a single A5 page or as a card with a detachable slip. The slip stays with the gate team and the card stays with the visitor.
Add a short declaration that the visitor has received the safety briefing and agrees to follow the rules. Keep the language plain, for example: "I have been told the safety rules for this site and will follow them."
Record the briefing as given. If an incident occurs, this single tick shows that the site took reasonable steps.
Issue factory passes from one searchable record
VisitorFlow supports QR check-in, host approval and Excel-based visitor reports, with a material gate pass product alongside.
Explore Visitor Management SoftwareVehicles bring risk and a record problem. Note the vehicle number and the parking area on the pass. For visitors who carry equipment, list each item, since a laptop that enters but does not leave, or an item that leaves but never entered, is the sort of mismatch a guard should spot.
If goods move with the visitor, raise a separate material gate pass and write its number on the visitor pass. Do not use the visitor pass to authorise goods leaving the site.
| Visitor type | Approver | Extra check |
|---|---|---|
| Guest or customer | Host | Safety briefing if going on the floor |
| Contractor team | Project owner and security | Induction record, list of workers |
| Auditor or inspector | Plant head | Escort and areas listed |
| Delivery driver | Stores or gate in-charge | Material pass for goods |
Name the approver in advance. A guard who must guess who can say yes to a contractor team will either block the visitor or let them through without checking.
A paper pass and a paper register can drift apart. The pass says 10:05 in, the register says 10:15, and nobody notices until something goes wrong. A number on both fixes most of it. Write the same pass number in the register and on the pass, and have the guard check them at exit.
A visitor management system removes the double entry. The visitor registers once, the host approves, and the pass and the record come from the same data. VisitorFlow's product page describes QR check-in, host approvals and Excel-based reports.
The sample shows the discipline the format is meant to build: every line has an answer, the items in match the items out, and the exit time is written before the pass is filed. Use a sample like this one as a training aid for new guards, and keep a blank copy at the post for reference.
Review the sample with the guards once a quarter. Ask them which line they find hardest to fill, and change the wording of that line first. A line that guards skip is a line that needs a clearer prompt, not a stricter reminder.
A pass that lists ID numbers and a mobile number is a small data leak waiting to happen. India's DPDP Rules, 2025 require reasonable security safeguards (Rule 6) and a notice that itemises what you collect and why (Rule 3). Collect the minimum, show a short notice at the gate and keep the register out of public reach.
⚠️ Compliance note: Check with your legal adviser what ID details you may collect and how long to keep them. Rule 1 starts most operational obligations eighteen months after publication, around mid-May 2027.
Safety briefing skipped
At peak hours the briefing is the first step to go. Make it part of the pass, with a tick the guard must give.
Contractor teams entered as one name
A team of twelve needs twelve names. A single line hides who was on site.
Pass and register match
Use one pass number in both places and check it at exit.
A further problem is the exit. Visitors leave at shift change with the crowd, and the guard never closes the record. Put the exit check in the same place as the pass collection point, so one stop does both.
Pilot the format at the busiest gate before you extend it.
Step 01
Days 1 to 3: draft and test
Print twenty passes with the full format. Ask a guard, a safety officer and a host to fill one each and mark what is unclear.
Step 02
Days 4 to 10: run at one gate
Issue only the new pass at the main gate, with the briefing and PPE ticks. Review ten passes a day for gaps.
Step 03
Days 11 to 14: extend
Fix what the review found, brief the other gates and set a weekly check of five passes per gate.
Keep the safety briefing script on one page so every guard says the same thing.
Check your current pass against these points.
Answer yes or no
Two or more no answers mean this is worth fixing before anything else on your list.
What should a visitor gate pass for a factory include?
Identity, host and purpose, areas allowed, safety briefing and PPE, vehicle details, carried items, approval and exit time.
Is a visitor gate pass the same as a material gate pass?
No. A visitor pass is for a person. A material gate pass authorises goods to move through the gate. They are linked but separate.
Do contractors need a different pass?
Usually yes. They need an induction record, a worker list and often a longer validity. Give them a distinct colour and category.
Should the pass record the safety briefing?
Yes. A tick that the briefing was given, with the visitor's declaration, shows the site took reasonable steps.
How long should gate pass records be kept?
For the period your legal adviser sets. Rule 8(3) of the DPDP Rules, 2025 sets a one-year minimum for certain logs.
Can the gate pass be digital?
Yes. A system can issue the pass from the visitor's own form and approval, and keep the record searchable.
A factory visitor gate pass is a safety document as well as an identity slip. Add the safety, vehicle and carry-in lines to the basic format and keep the pass and register in step by number.
Pilot the format at one gate, review the exit step and then extend it.
