Ask five vendors what visitor management software costs in India and you will hear five answers, from a few hundred rupees a month to a custom quote. The numbers are hard to compare because each vendor limits something different: visits, invitees, users, locations or devices.

This guide collects the prices that several vendors list on their own pricing pages, shows how to compare them by cost per visit, explains what drives the price and lists costs that are not in the headline number. It is written by VisitorFlow, which does not publish prices on its package page, so we do not quote one for ourselves. Prices change, so confirm with each vendor before you buy.

Where these prices come from

All prices below are from vendors' own pricing pages, read on 18 October 2026. Some show prices with tax included and some exclude GST, as noted. We have not tested the products. A listed price is what the page says on the day, not a quote you can rely on. This is a sample of vendors, not a ranking and not the whole market.

Key idea: Compare by what you get per rupee, not by the headline monthly price.

Cost per visit

Where a plan states a visit limit, divide the monthly price by it. This is the cost at the full limit, and it is higher if you use fewer visits.

Plan Price / limit Cost per visit at limit
Vizitor Starter Rs 1,600 / 300 about Rs 5.33
Vizitor Premium Rs 3,200 / 1,000 Rs 3.20
Pass Point Starter Rs 1,699 / 500 about Rs 3.40
Pass Point Pro Rs 4,199 / 2,000 about Rs 2.10
Pass Point Premium Rs 8,499 / 10,000 about Rs 0.85
VizPass Single Gate Rs 1,499 / 200 about Rs 7.50
VisitorCheckIn Small Rs 499 / 1,000 Rs 0.50
VisitorCheckIn Medium Rs 1,299 / 5,000 about Rs 0.26
TechNAll Starter Rs 999 / 500 about Rs 2.00
TechNAll Growth Rs 2,499 / 2,000 about Rs 1.25

The sums are ours, from the listed prices. The cheapest per visit is not always the best fit, since features and support differ, but the table shows why a bigger plan can cost less per visit than a smaller one.

What drives the price

  • Visits or check-ins per month.
  • Number of locations, gates or devices.
  • Number of staff or host accounts.
  • WhatsApp or SMS alerts, which may carry message charges.
  • Extras such as ID capture, badge printing or analytics.
  • Support level and onboarding.
  • Billing: monthly, annual or per company.

Two plans at the same price can differ widely on these. Read the limits before the price.

Costs outside the headline

Item Check
GST Is the price with or without 18 percent GST?
Hardware Tablet, stand, badge printer. Some products need none.
Messages WhatsApp and SMS may be billed per message.
Overage What happens above the visit limit?
Setup and training Free, or a one-time fee?
Annual lock-in Is the monthly price only for annual billing?
Exit Can you export your data?

Envoy lists its Premium price in US dollars, billed annually, so the rupee cost depends on the exchange rate. At an assumed Rs 85 to the dollar, used only for this example, USD 362 is about Rs 30,770 a month, or about Rs 3.69 lakh a year per location.

Working out your budget

Step 01

Count visits

Take the number of visitors, contractors and delivery staff in a typical month.

Step 02

Add growth

Add 20 to 30 percent for the year ahead.

Step 03

Count sites

List gates and locations that need the system.

Step 04

Shortlist three

Pick plans whose limits fit, then compare features.

Step 05

Get it in writing

Ask for a written quote with GST, messages and support.

Get a quote for your gates

Ask VisitorFlow for a quote and compare it on the same terms: visits, sites, users, GST and messages.

A worked example

Worked example (assumed) Plant with 2 gates, 600 visitors a month, growing to about 750. Plans with 500 or 300 limits: too small. Plans with 1,000 or 2,000 limits: fit. Vizitor Premium: Rs 3,200 per location, 2 gates may mean 2 locations. Ask. Pass Point Pro: Rs 4,199 covers 10 sites. The cheapest headline is not the cheapest total.

The example is invented to show the method. It does not recommend a vendor. The point is to match limits to your real numbers first.

Where VisitorFlow fits

VisitorFlow's package page lists Standard and Premium yearly packages for visitor management, plus separate packages for material gate pass, courier and maintenance and incident software. It does not show prices in the text we read. Ask VisitorFlow for a quote for your sites and compare it on the same terms as the table above.

Common mistakes

Buying on the lowest price

A small limit forces an upgrade in month two.

Ignoring GST

18 percent changes the comparison.

Count your visits

Use real numbers, with growth.

Another mistake is paying for features you will not use. A small office may not need analytics or API access.

A third is skipping the trial. Most vendors listed offer a free trial or free tier. Use it at the real gate.

A one-week price check

Build a fair comparison.

Step 01

Day 1: count

Count visits, sites and hosts.

Step 02

Days 2 to 3: collect

Gather written quotes from three vendors.

Step 03

Days 4 to 5: normalise

Convert to cost per visit with GST and messages.

Pick two for a trial at the gate. During the trial, count real visits and check that the limits and alerts behave as the page says. Record the cost per visit you actually saw and compare it with the plan you would have to buy. If the trial shows that you will cross the limit in the first quarter, price the next plan up now, so that the decision is made on the real cost and not on the entry price.

Five-minute self-check

Check your readiness to buy.

Answer yes or no

  • ☐ Do you know your monthly visits?
  • ☐ Do you know your number of sites?
  • ☐ Have you checked GST on each quote?
  • ☐ Have you asked about message charges?
  • ☐ Have you planned a trial?

Two or more no answers mean this is worth fixing before anything else on your list.
