Visitor Register Format: Free Excel and PDF Template

Published on 10/18/2026 • Updated on 10/19/2026

A new security supervisor takes over a gate and finds a register with columns drawn by hand in four different ways. Some pages have a phone number, some do not. Time out is blank for half the entries. When a manager asks who visited last Tuesday, the answer takes forty minutes.

A good visitor register format fixes that with fixed columns and a few filling rules. This guide gives you a format you can copy into Excel or print as a PDF, explains what each column is for, shows the rules that keep entries usable, and describes what changes when the register moves to software.

What a visitor register must do

A visitor register has three jobs: prove who entered and when, show who they came to see, and let you find a single visit again in under a minute. Any format that cannot do all three is a notebook, not a register.

The format below is deliberately plain. It uses eleven columns, all of which have a use, and it avoids fields that most sites never read, such as full home addresses.

Key idea: If nobody has ever searched a column, remove it. If somebody keeps asking for a field, add it.

The visitor register format

Copy the table below into a spreadsheet, one row per visit, or print it landscape on A4. Keep the header row frozen so it stays visible as the sheet grows.

Column What to enter
Sl. no. Running number, restarts each year
Date Date of the visit
Visitor name Full name as the visitor gives it
Mobile number For the arrival alert and contact if needed
Company or organisation Where the visitor comes from
Host name and department Who the visitor is meeting
Purpose of visit One line, from a short list
Time in Written by the guard at entry
Time out Written at exit, never left blank
Pass number If a pass is issued
Guard initials Who processed the entry

Sample row for reference: 1 | 20 Oct 2026 | R. Sharma | 98XXXXXXXX | Alpha Tools | S. Iyer, Purchase | Quotation meeting | 10:05 | 11:20 | V-014 | MK.

Rules for filling the register

Step 01

Fill at the gate, not later

The guard enters the visitor at arrival. Entries written from memory at the end of a shift are the ones with errors.

Step 02

Write time out for every visitor

A register with blank exit times cannot tell you who is still inside during an emergency.

Step 03

Use a short list for purpose

Meeting, delivery, interview, maintenance, audit, other. A short list makes later counts possible.

Add a rule that pages are numbered, never torn out, and signed by the supervisor at the end of each day. A torn page is the first thing an auditor questions.

Setting it up in Excel

If you keep the register in a spreadsheet, a few settings turn it from a list into a tool.

  • Freeze the header row and turn on filters for date, host and purpose.
  • Use data validation for the purpose and department columns, so spellings stay consistent.
  • Format date and time columns properly, not as text, so you can sort and count.
  • Protect the header and the formula cells, and keep a daily copy in a read-only folder.
  • Name each month's file the same way, for example visitors-2026-10.xlsx.

A spreadsheet works for a small site with one gate and one computer. It struggles when several guards enter data at once, because two people cannot safely edit the same file, and because the data sits on one machine.

Printing the PDF version

Print the same columns on A4 landscape, with a row height that gives room to write. Leave a margin on the left for binding. Include a line at the top of each page: site name, date and page number. Add a small notice at the foot: "Visitor details are collected for site security and are kept for a stated period."

Printed registers carry a privacy problem that a spreadsheet does not: every visitor can read the entries above theirs. If you must use paper, use a tear-off slip per visitor and collect the slips in a locked box, rather than a shared open page.

Mistakes that make a register useless

Most failed registers fail in the same few ways. Check your own against this list.

Illegible entries

Handwriting at speed is hard to read. Ask visitors to write in capitals, or have the guard write the name while the visitor reads it back.

Missing exit times

If time out is blank, the register cannot say who is inside. Make the guard close every row at the gate on exit.

One host column for everything

Write the host name and department. A common first name alone cannot be traced when the employee has left.

A fourth mistake is keeping several registers at several posts with different columns. Pick one format, print it from one file, and give every gate the same version. When the format changes, date the change and retire the old books on the same day.

A fifth is treating the register as a security tool only. The same data tells the admin head how many visitors a plant receives in a month, which departments receive the most, and which hours are the busiest. Review the numbers monthly, and use them when you plan staffing for the gate.

Before you print

  • ☐ Columns match the format above.
  • ☐ Pages are numbered and bound.
  • ☐ A supervisor signs each day.
  • ☐ The privacy notice is printed at the top or foot.
  • ☐ A retention date is written on the cover.

Privacy points to decide before you print

Names and mobile numbers are personal data. India's Digital Personal Data Protection Rules, 2025 expect a notice that itemises the data you collect and why (Rule 3), reasonable safeguards such as access control (Rule 6), and erasure once the purpose is served. Rule 1 starts most of these obligations eighteen months after publication, around mid-May 2027.

⚠️ Compliance note: This guide is not legal advice. Ask your legal adviser to confirm the notice wording and the retention period before you finalise the format.

Practical steps are simple: do not collect more than the eleven columns need, keep the register away from the public desk, and agree a date after which old books are destroyed.

Introducing the format to the gate team

A new format only works if the guards use it the same way. Hold a ten-minute briefing at each shift change in the first week, and walk through one filled sample row together.

Show the guards why each column exists by using a real example: an emergency drill where the supervisor must list everyone inside. A complete register with time out filled in answers that question in two minutes. An incomplete one takes an hour and still leaves doubt.

Review five random pages at the end of the first week. Praise the clean ones, correct the others on the spot, and repeat the review the following week until errors stop.

What changes when the register goes digital

Point Paper or Excel Visitor management software
Entry Guard writes or types Visitor fills a form on their phone
Host alert Phone call Email, WhatsApp or SMS
Search Page through or filter one file Search from any browser
Privacy Open page or single PC Role-based access
Reports Manual count Excel-based reports

The columns stay the same. What changes is who enters them and how fast. VisitorFlow describes this on its product page: visitors scan a QR code, hosts are notified by email, WhatsApp or SMS, and reports can be exported to Excel.

Reader Q&A

What columns should a visitor register have?

Serial number, date, visitor name, mobile number, company, host and department, purpose, time in, time out, pass number and guard initials cover most sites.

Can I use Excel as a visitor register?

Yes, for a small site with one gate. Freeze the header, use filters and drop-downs, and keep daily backups. For several gates, a shared system works better.

Is a paper visitor register legal?

Registers are not banned. The issue is how personal data is protected and erased. Under the DPDP Rules, 2025 you need a notice, safeguards and an erasure plan. Ask your legal adviser.

Should I record the visitor's ID number?

Only if your site has a stated reason, such as a rule for contractors. Collect the minimum and say why.

How long should I keep the register?

For the period your legal adviser sets. Rule 8(3) of the DPDP Rules, 2025 sets a one-year minimum for certain logs.

Do you provide a downloadable template?

The format is printed in this article, and you can copy it into Excel or print it. A ready-made file download is not attached to this post.

Bottom line

A visitor register format works when the columns are fixed, the rules are short and the page is not open to every visitor. Copy the eleven columns, apply the three filling rules, and decide the retention date before the first entry.

When the number of gates or visitors grows, move the same columns into software, so entry, alerts and search stop depending on one guard.
