Envoy is one of the best known visitor management products in the world. VisitorFlow is an Indian cloud platform that covers visitors, material gate passes, courier, maintenance and incident reporting. A buyer choosing between them is really choosing between two different shapes of product.

This is a comparison written by VisitorFlow, so read it with that in mind. We have drawn every claim about Envoy from its own public pages and every claim about VisitorFlow from ours, and we name the source in each case. We say where Envoy is stronger. Pricing and features change, so check both vendors' current pages before you decide.

Sources and how current they are

Envoy facts below come from envoy.com/pricing and envoy.com/products/visitors, read on 18 October 2026. VisitorFlow facts come from visitorflow.co/product/visitor-management-software and visitorflow.co/package, read the same day. We did not test Envoy's software. Where a page does not say something, we say so and do not guess.

Key idea: Treat any vendor's comparison, including this one, as a starting point for your own trial.

Where Envoy is strong

Envoy's visitor page describes integrations with systems such as Okta, Brivo and LenelS2, digital NDAs, access control, ID scanning with checks against internal blocklists and third-party watchlists, badge printing with photos and a large partner ecosystem. Its pricing page lists SSO and directory integrations, legal documents, auto-scheduled reports and multi-channel emergency notifications on the Premium plan, and blocklist scanning, access control integrations, guest Wi-Fi integrations and ID scanning on Enterprise.

If you run a global head office with existing identity and badge systems and a large budget, these are real advantages.

Where VisitorFlow is strong

VisitorFlow's product page describes QR check-in from the visitor's phone, notification to the host by email, WhatsApp or SMS, approve or reject, an End Meeting step, a blacklist, Excel reports and operation without special hardware. Its package page lists NDA display, photo, signature and ID capture, multiple factories or offices, DPDP compliance and OSHA items, with separate packages for material gate pass, courier and maintenance and incident software.

The wider range matters for Indian plants, where the gate handles material, couriers and contractors as much as guests. One platform for all of these is the main reason to look at VisitorFlow.

Hardware and cost of setup

Envoy's pricing page says Visitors needs an iPad running iOS 10 or later, and recommends an iPad stand and a badge printer for guest badges. That is a sound set-up for a staffed lobby, and it adds equipment cost and a device to maintain at each entrance.

VisitorFlow's product page says no special hardware is needed, since visitors scan a QR code. That suits unmanned or busy factory gates, though you will still want a phone or screen for the guard dashboard.

Pricing, as published

Envoy lists a free plan for small businesses with basic needs, with host notifications and 100 entries a month. Premium is listed at USD 362 per location per month, billed annually, and Enterprise is custom. At an exchange rate of, say, Rs 85 to the dollar, an assumed rate used only for this example, one location comes to about Rs 30,800 a month, or about Rs 3.7 lakh a year. Check the current rate and any local pricing with Envoy.

VisitorFlow's package page lists Standard and Premium yearly plans without prices in the text we read. Ask VisitorFlow for a quote for your number of locations. We do not state a price here because we could not verify one on the page.

Who each fits

Your situation Likely fit
Large multi-country company, existing identity stack, lobby with a receptionist Envoy
Indian factory or campus, material and courier at the gate VisitorFlow
Small office, a few visitors a day, tight budget Envoy free plan or VisitorFlow trial, whichever you can try faster
Need ID scanning with third-party watchlists Envoy lists it on Enterprise
Need DPDP-ready records and WhatsApp alerts Check both; VisitorFlow lists DPDP compliance and WhatsApp

This table is a guide, not a verdict. Your own trial matters more.

How to choose in a week

Step 01

List must-haves

Write ten needs: hardware, languages, alerts, reports, integrations, data location, support hours.

Step 02

Trial both

Run each at one gate for three days.

Step 03

Score

Rate each need from 1 to 5 with the gate team.

Step 04

Ask for a quote

Get written prices for your locations and users, including support and any hardware.

A worked scoring example

Worked example (assumed)
Need Weight Envoy VisitorFlow WhatsApp alerts 5 2 5 No extra hardware 4 2 5 Material gate pass 5 1 5 ID watchlist scan 2 5 2 Integrations (SSO) 2 5 2
Weighted totals depend on your weights.

The scores are invented to show the method. Use your own needs and weights. A global firm would weight SSO and watchlists far higher.

Common mistakes

Buying on brand

A famous name does not fit every site.

Ignoring setup cost

Count tablets, stands and printers.

Trial at the real gate

A demo room hides problems.

Another mistake is comparing a free plan with a paid one. Compare the same scope: users, locations, entries and support.

A fourth is assuming the gate is only about people. If your gate also handles material and couriers, check whether each product covers those flows, and at what extra price, because that is where Indian sites often differ most.

A third is skipping data questions. Ask where data is stored, how long, and how it can be deleted, in line with your obligations under the DPDP Act.

A one-week comparison

Run both at one gate.

Step 01

Day 1: needs list

Agree the ten must-haves with the gate team.

Step 02

Days 2 to 5: trial

Run each tool for at least two days.

Step 03

Days 6 and 7: score and quote

Score and request written quotes.

Decide with the numbers and the gate team's view. Keep the score sheet and the quotes in one folder, so that management can see how the decision was made and the choice can be reviewed at renewal. If the trial shows that neither tool fits fully, write down the gap and ask both vendors whether it is on their plan for the coming year.

Five-minute self-check

Check your readiness to compare.

Answer yes or no

  • ☐ Do you have a written needs list?
  • ☐ Do you know your number of locations and users?
  • ☐ Have you included hardware cost?
  • ☐ Have you asked about data storage?
  • ☐ Will the guards join the trial?

Two or more no answers mean this is worth fixing before anything else on your list.
